Turn Messy Meeting Notes into Clear Action Items with ChatRTX

Check that your PC can actually run ChatRTX

Open the Start menu (the little Windows logo in the bottom-left corner of your screen), type Device Manager, and press Enter. A long list of your computer's hardware appears. Scroll down to Display adapters, click the small arrow next to it, and read the name that shows up. If it says something like "NVIDIA GeForce RTX 3060" or "NVIDIA GeForce RTX 4070," you're good — that card is what runs the AI. If it shows an older card (GTX, RTX 20-series) or an AMD/Intel chip, ChatRTX will not work; skip to "What this means for you" below for easier alternatives. On a laptop, the GPU model is sometimes printed on a sticker under the keyboard or visible in Settings → System → About.

Download and install ChatRTX

On NVIDIA's website, look for the ChatRTX page and download the Windows installer. The file is several GB because the app comes bundled with an AI model (think of it as ChatGPT's brain, downloaded onto your computer). Run the installer file and accept the default options. The download and setup usually takes 10–20 minutes on a fast connection, so grab a coffee. If Windows shows a security warning (often labeled something like "Windows protected your PC"), there is usually an extra line to click that says "More info", and then a button along the lines of "Run anyway" to proceed; the file is legitimate. On a setup screen that asks who to install for, choose "Install for me only" — it's faster. A new entry for ChatRTX typically appears somewhere in the Start menu (look under recently added apps or just type the name in the search box to confirm).

Load your meeting notes into ChatRTX

Launch ChatRTX from the Start menu. A clean window opens with a chat text box at the bottom (where your questions will go) and an empty area above it (where replies will appear). Above the chat box, somewhere in the top portion of the window, look for a section that lets you point the app at your documents — in our testing this is usually a panel or icon cluster near the top of the window, often near the right side. The most common control looks like a folder icon, or a button labeled something like "Add files", "Add folder", or similar. Click it and pick the folder that contains your meeting notes — use a folder with only the notes you want ChatRTX to read. The app scans those files and builds an index (a behind-the-scenes table of contents, like the index at the back of a textbook) which takes a minute or two. If still nothing is obvious, click any gear icon or ⋯ (three-dot) menu at the top of the window; folder controls often live inside. In some versions the button may say something like "Dataset," "Documents," or "Library" — any of those usually leads to the same place.

The exact wording varies between versions.

Ask ChatRTX to extract the action items

Click into the chat text box at the bottom of the window and type a clear request. ChatRTX reads your indexed notes and replies with a structured list. It only searches the documents you gave it — it doesn't look at the web. Local AI runs a bit slower than cloud services, so give it 10–20 seconds to answer. If the reply starts streaming in word-by-word, that's normal.

Refine the list if it's messy

If the first answer missed something or was too vague, type a follow-up question in the same chat box pointing at the gap. ChatRTX re-reads your notes with the new instruction and replies again — usually within 30 seconds. Because the AI is running on your PC, each answer costs you a few seconds of patience, but no data leaves the laptop.

Copy the list into Slack or email

Highlight the AI's reply with your mouse, press Ctrl + C to copy, then switch to Slack or your email draft and press Ctrl + V to paste. ChatRTX has no built-in Slack or Gmail button — the clipboard is the bridge between your AI and your team. In Slack, Ctrl + Shift + V often keeps the bullet formatting intact; in Gmail, plain Ctrl + V works.
