Turn a long email thread into a 3-bullet summary with Copilot in Outlook

Open the thread in Outlook, click Copilot, and ask it to summarise the key points in three bullets.

Hook: You’ll save time turning a messy email thread into a clear three-point summary. Copilot in Outlook can do the heavy lifting while you focus on what matters.

💡 Tip: tap a step’s number when you finish it — a green tick appears and your browser remembers how far you got.

✅ Before you start
  • A Microsoft 365 work or school account (personal Outlook.com accounts also work).
  • The Outlook desktop app or Outlook on the web (outlook.office.com) open on your computer or tablet.
  • Roughly 5 minutes to complete.

1

Open the email thread in Outlook

Open Outlook on your computer or tablet. In the left sidebar, find the email folder that contains the long thread (usually Inbox or Sent Items). Click the email thread once to open it in the reading pane. You’ll see a list of messages stacked vertically. If you don’t see the sidebar, look for a three-line menu icon (☰) in the top-left corner and tap it to open the folder list. You’ll know it worked when the thread is open and you can scroll through the messages.

💬 ExampleClick the Inbox folder → scroll to find the email titled “Project Alpha Budget Review” → click it once.

2

Locate the Copilot button

With the thread open, look at the top toolbar above the email list. You should see a button labelled Copilot or an icon that looks like a spark (✨). It’s usually on the right side of the toolbar. If you don’t see the Copilot button, look for a three-dot menu (⋯) and click it — Copilot often hides there on smaller screens. You’ll know it worked when the Copilot panel opens on the right side of your screen.

💬 ExampleClick the ✨ Copilot button in the top-right corner.

3

Ask Copilot to summarise the thread

In the Copilot panel, you’ll see a text box that says “Ask Copilot anything…”. Click inside the box and type or paste: “Summarise this thread in three bullet points.” Then press Enter or click the send arrow. Copilot will process the messages and show a concise summary below your prompt. If the summary isn’t ready yet, you’ll see a spinning icon or “Generating…”. You’ll know it worked when you see three clear bullet points appear in the panel.

💬 ExampleSummarise this thread in three bullet points.

4

Check the summary for accuracy

Read the three bullets carefully. If a point feels off or missing, tell Copilot in the same panel: “Add the budget deadline to point 2.” Copilot will update the summary instantly. If the panel disappears, click the Copilot button again to reopen it. You’ll know it worked when the updated bullets include the new detail and still stay within three points.

💬 ExampleAdd the budget deadline to point 2.

5

Copy the summary to your clipboard

Below the three bullets, look for a small Copy icon (two overlapping squares) or the word Copy. Click it once. The bullets will turn slightly grey to show they’re copied. If you don’t see a Copy button, right-click the summary and choose Copy from the menu. You’ll know it worked when you can paste the text somewhere else (like a new email or Notepad) and the three bullets appear exactly as shown.

💬 ExampleClick the Copy icon next to the bullets → open a new email → press Ctrl+V (or Cmd+V on Mac) to paste.

⚠️ Common mistakes
  • Mistake: The Copilot button is missing. Fix: Make sure you’re using Outlook desktop or Outlook on the web (not the mobile app). If you’re on the web, try refreshing the page or signing out and back in.

  • Mistake: The summary is too long or off-topic. Fix: Rephrase your prompt to be more specific, like “Summarise only the action items in three bullets.” Copilot will tighten the focus.

  • Mistake: You can’t find the copied bullets. Fix: Paste into a plain text editor first (like Notepad or TextEdit) to confirm the text copied correctly. Then move it to your final destination.
