Transcribe and Summarize a Voice Memo on iPhone with Apple Intelligence

Open Voice Memos and find or record your memo

Tap the Voice Memos app on your home screen — it's the one with a red-and-white sound-wave icon. If you already have the 30-minute memo you want to work with, scroll the list and tap it once to open it. If you need a fresh recording, tap the red round button at the bottom, hold the phone with the bottom microphone facing you, speak normally, and tap the red square to stop.

Both are normal — the same red button starts and stops.

Turn on transcription and generate the transcript

Open the Voice Memos app and tap your memo. If you've never used transcription before, flip it on first: go to Settings → Voice Memos → Transcription and turn the toggle on. Then return to your memo and look for a transcript option near the playback controls at the bottom of the screen — usually a button that looks like lines of text, or a label that says Transcribe. Tap it once. The phone starts turning your spoken words into written paragraphs and shows them under the audio waveform (the wavy line that visualizes sound). This usually takes about a third of the recording's length, so a 30-minute memo may take 8-10 minutes to transcribe.

If no transcript option appears at all, your phone language or region may not yet be supported.

Copy the transcript text

Tap and hold your finger on any word inside the transcript for about one second, until a small magnifying glass or selection handle appears. Choose Select All so the entire transcript is highlighted blue, then tap Copy in the popup. The full transcript now lives on your iPhone's clipboard (a temporary holding area for copied text — anything you copy lives there until you paste or copy something else).

Paste the transcript into a new Note

Swipe up from the bottom of the screen (or press the Home button) to leave Voice Memos, then open the Notes app — it's the yellow notepad icon. Tap the pencil-and-paper icon at the bottom-right to start a new note. Tap once inside the empty note, hold for a moment, and tap Paste when the option pops up. The whole transcript drops into the note. Add a clear title at the top so you can find this note later, something like the meeting name and date.

Summarize the text with Writing Tools

This is where Apple Intelligence steps in. Tap once inside the long transcript, choose Select All, then look for the Apple Intelligence option in the popup menu — it usually appears as a small purple ✨ sparkle icon or a Writing Tools entry. Tap it, then choose Summarize from the list that appears. Writing Tools reads the selected text and writes a short summary, usually a few bullet points or one short paragraph. Be aware: Writing Tools is a general text tool, not a Voice Memos feature, so it's working on the pasted transcript you prepared — and it can summarize, paraphrase, and pick out themes, but it cannot capture every fine detail, so exact numbers or one-off remarks may be paraphrased or dropped.

On older iOS 18 builds the sparkle may be missing — that usually means Writing Tools isn't enabled yet, or your iPhone model doesn't support Apple Intelligence. If no summary appears, try selecting a smaller chunk of text (a few hundred words) and running Summarize again; very long pastes sometimes need to be split.

Search for your summary later

Tap the magnifying-glass icon at the top-right of the Notes app to open search. Type any word from your summary — a person's name, a project, a date — and your note appears in the results in about a second. From there you can copy, share, or pin the summary.
