Turn your Zoom call into meeting minutes in 5 minutes with Grok
Learn how to upload a Zoom recording and let Grok write concise, ready-to-share minutes for you.
Hook: You just finished a Zoom call and need minutes fast. Instead of typing for half an hour, you can turn the recording into a concise summary in minutes. Grok can listen to the call and write the minutes for you — here’s how.
💡 Tip: tap a step’s number when you finish it — a green tick appears and your browser remembers how far you got.
- A Zoom cloud recording you can download (or the local mp4 file).
- A free xAI account (Grok is free to use).
- A computer or phone with a web browser.
- Roughly 5 minutes of your time.
- A text editor or email app to paste the minutes.
Grok can’t send the minutes for you — you’ll copy and share them yourself.
Download your Zoom recording
Open the Zoom website or app and go to Recordings. Find the call you want and click Download to save the mp4 file to your computer. You’ll see a list of cloud recordings; click the one you need. After you click Download, the file saves to your default downloads folder. If you don’t see Download, look for an ellipsis (⋯) or a gear icon and choose Download. You’ll know it worked when the mp4 file appears in your downloads folder.

Open Grok and start a new chat
Go to grok.com in your browser and sign in with your xAI account. Tap New chat or click the plus icon to begin a fresh conversation. You’ll see a blank chat window with a text box at the bottom. After you click New chat, a new conversation opens and you can type your first message. If you don’t see New chat, look for a button like Start a new chat or a plus symbol. You’ll know it worked when the chat window is empty and ready for your prompt.

Upload the recording and ask Grok to write minutes
Drag the mp4 file from your downloads folder into the Grok chat window, or click the paperclip icon and choose the file. Then type: “Please write concise meeting minutes from this call. Include key decisions, action items with owners, and next steps. Keep it under 200 words.” Grok shows a preview of the file and starts processing once you send the message. After you send the prompt, Grok begins transcribing and summarising the call. If the upload doesn’t start, look for a small upload progress bar or a message like “File uploaded.” You’ll know it worked when Grok replies with “I’m processing the recording…” or shows a transcription preview.

Review and polish the minutes
When Grok finishes, read the minutes it generated. If anything is missing or unclear, reply: “Add the name of the project we discussed and the deadline for the next milestone.” Grok displays the updated minutes in the same chat. After you send the follow-up, Grok revises the text and shows the new version. If Grok doesn’t change the text, try rephrasing your request (“Include the project name and deadline in the minutes.”). You’ll know it worked when the updated minutes appear in the chat.

Copy and share the minutes
Highlight the minutes text in the chat, press Cmd+C (Mac) or Ctrl+C (Windows), and paste them into your email, Slack, or document. Add a subject line like “Minutes from 5 June sync” and send. You’ll see the minutes in a text box in your chat. After you copy the text, you can paste it anywhere you need. If the text doesn’t copy, try selecting it again or right-clicking and choosing Copy. You’ll know it worked when the minutes appear in your email or chat app exactly as you pasted them.
Body: Please find the minutes below.

Mistake: Uploading a file that’s too large or not an mp4. Fix: Check the file size (under 100 MB is safest) and ensure it ends in .mp4.
Mistake: Asking Grok to write minutes without specifying the format. Fix: Always include “key decisions, action items with owners, and next steps” in your prompt so the output is useful.
Mistake: Forgetting to review the minutes before sharing. Fix: Read the draft once, then ask Grok to add anything missing — it’s faster than rewriting yourself.
Open your Zoom recordings, download the most recent call, and drag the mp4 file into Grok. Ask it to write concise minutes — you’ll have the first draft in under two minutes.
