Turn a short note into a polished email reply with Meta AI in Outlook

Use Meta AI inside Outlook to turn a quick bullet list into a ready-to-send email reply so you can reply faster and keep your inbox under control.

If your inbox feels like a second job and every “Thanks for your email” takes longer to type than it should, this guide is for you. You’ll learn how to use Meta AI right inside Outlook to turn a few rough notes into a polite, ready-to-send reply in under two minutes—so you can hit send without rewriting every message.

✅ Before you start
  • A free Microsoft Outlook account (web, desktop or mobile)
  • A free Meta AI account (sign up at meta.ai)
  • Roughly 7 minutes of your time
  • A device with a web browser or the Outlook app installed

1

Open Outlook and start a new reply

Open Outlook on your computer or phone and open any email you want to reply to. Look for a button like Reply, Reply all or Forward at the top of the message. Tap or click it to start a new reply window. A blank reply box appears with the cursor ready to type. If you don’t see a reply button, look for a curved arrow icon or a menu with three dots labelled More actions. You'll know it worked when you see a new reply box ready for typing.

💬 ExampleOpen Outlook → open an email → click **Reply**.

2

Paste your rough notes into the reply box

Inside the reply box, type or paste a few rough notes you already have. For example: “meeting tomorrow 2pm, bring the budget file, confirm by EOD” Press Enter once to move to a new line. Meta AI watches the text you typed and shows a light grey box labelled Meta AI draft below your message. If the grey box doesn’t appear, make sure you’re signed in to Meta AI in the same browser tab. You'll know it worked when you see the grey Meta AI draft box appear below your notes.

💬 Examplemeeting tomorrow 2pm, bring the budget file, confirm by EOD

3

Ask Meta AI to turn your notes into a reply

Inside the reply box, add a short instruction after your notes. Type: “Meta AI, turn this into a friendly email reply” Press Enter. Meta AI shows a full draft reply in the same grey box, ready to read and edit. If the draft doesn’t appear, check that you’re still signed in to Meta AI and you pressed Enter after the instruction. You'll know it worked when the grey box contains a complete, polite email reply based on your notes.

💬 ExampleMeta AI, turn this into a friendly email reply

4

Read and tweak the draft

Read the Meta AI draft in the grey box. If it’s too formal, too short or misses a key detail, add a sentence like “keep it short and mention the budget file” and press Enter again. Meta AI updates the reply in the same grey box with your new instructions. If nothing changes, try rephrasing your request with more detail. You'll know it worked when the reply box shows a new, updated draft that matches your tone.

💬 Examplekeep it short and mention the budget file

5

Copy the draft into your reply

Click inside the grey draft box, then press Ctrl+C (Windows) or Cmd+C (Mac) to copy the text. Click back into the main reply box and press Ctrl+V or Cmd+V to paste it. The draft text appears in the reply box, ready for you to send. If the paste doesn’t work, right-click in the reply box and choose Paste. You'll know it worked when the reply box contains the full draft text you just copied.

💬 Example[Paste the text here]

6

Add your signature and send

Scroll to the bottom of the reply box and check that your name and signature appear. If they’re missing, look for a link like Insert signature or Signature in the toolbar. Click it to add yours. The email now has your signature and the Meta AI draft text. If the signature doesn’t appear, your Outlook settings may need updating. You'll know it worked when the email looks complete with your signature and the draft text.

💬 ExampleClick **Insert signature** if needed.

⚠️ Common mistakes
  • Meta AI draft doesn’t appear → Make sure you’re signed in to Meta AI in the same browser tab and you pressed Enter after pasting your notes and after your instruction.
  • Draft is too formal or too casual → Add a sentence like “keep it short and mention the budget file” and press Enter again to refresh.
  • Signature is missing → Look for Insert signature in the toolbar and click it before sending.

🚀 Try it now

Open Outlook, reply to any email, paste the notes “meeting tomorrow 2pm, bring the budget file, confirm by EOD”, type “Meta AI, turn this into a friendly email reply”, press Enter, copy the draft, and send it. That’s it—you’ve just saved two minutes.
