💡 Tip: tap a step’s number when you finish it — a green tick appears and your browser remembers how far you got.
- A Microsoft 365 subscription (Copilot is included in most business plans).
- The Excel desktop app (Windows or Mac) or the Excel web app in Microsoft 365.
- A customer list in a simple format (one row per customer, one column per field like Name, Email, Phone).
- Rough time: 2 minutes.
Open your customer list in Excel
Open the Excel app on your computer or go to Excel for the web and sign in. Open the file that contains your customer list. You’ll see a grid of rows and columns. Each row is a customer, and each column is a piece of information like Name, Email, or Phone.
You'll know it worked when you see your customer data displayed in the familiar Excel grid.

Start Copilot in Excel
Look at the ribbon at the top of the Excel window. Find the Home tab. On the right side of the ribbon, you’ll see a button labelled Copilot. It looks like a small chat bubble with sparkles. Click it to open the Copilot pane on the right side of your screen.
If you don’t see Copilot, look for a button like Ask Copilot or Copilot in the Home tab. If it’s still missing, your plan may not include Copilot — check with your IT admin.
You'll know it worked when a chat window appears on the right side of Excel, ready for your prompt.

Ask Copilot to find duplicates
In the Copilot chat box, type or paste:
Copilot will process your request and show a message like “I’m checking for duplicates…” while it scans your data. After a few seconds, it will display a list of duplicate customers, grouped by the fields that match (for example, two rows with the same email address).
You'll know it worked when Copilot shows a clear list of duplicate customers and the rows they appear on.

Review the duplicates Copilot found
Copilot will show you the duplicate customers and the rows they appear on. It may also suggest which row to keep (for example, the most recent entry). Read through the list and decide which rows to keep or remove.
If the list looks different on your screen, look for a section labelled Duplicates found or Review duplicates in the Copilot pane.
You'll know it worked when you see a clear list of duplicates and the rows they appear on.

Ask Copilot to remove the duplicates
In the same Copilot chat box, type or paste:
Copilot will confirm the action and show a preview of the changes. After you approve, it will remove the duplicate rows and leave only one entry per customer.
If you don’t see a preview, look for a button like Apply changes or Confirm in the Copilot pane.
You'll know it worked when your customer list no longer contains duplicate rows and each customer appears only once.

Save your clean customer list
Look at the top-left corner of the Excel window. Click File, then Save (or press Ctrl + S on Windows or Cmd + S on Mac). Your cleaned customer list is now saved and ready to use.
If you don’t see the Save option, look for a button like Save As or Save a Copy in the File menu.
You'll know it worked when your customer list is saved and no longer contains duplicates.

Mistake: Copilot doesn’t find any duplicates even though you know there are some. Fix: Make sure your data is in a simple table format (one row per customer, one column per field). If your data is merged or formatted strangely, Copilot may miss duplicates.
Mistake: Copilot removes the wrong row when deleting duplicates. Fix: Before asking Copilot to remove duplicates, review the list it shows. If you want to keep a specific row, ask Copilot to “keep the row with the most recent date” or “keep the row with the longest name.”
Mistake: Copilot doesn’t appear in Excel. Fix: Copilot is only available in Microsoft 365 plans that include it. If you don’t see Copilot, check with your IT admin or try opening Excel in a browser at Excel for the web.
Open Excel, paste a small customer list into a new sheet, and ask Copilot to find and remove duplicates. You’ll have a clean list in under two minutes — and you’ll be ready to use it for your next task.
